Requesting and approving time off

Time Off lets team members submit PTO and absence requests, and gives managers and admins a clear approval workflow with policies and holidays built in.

Time Off is FeatureFlight’s absence management module. It covers PTO policies, public holidays, and a request-and-approval workflow so your team’s availability is always visible and accounted for, without spreadsheets or back-and-forth messages.

How Time Off is structured

  • Policies: rules for how time off accrues or is allocated (e.g., 15 days PTO per year). Admins create and assign policies.
  • Holidays: public holiday calendars can be configured so team members automatically have those days marked off.
  • Requests: individual team members submit requests for specific dates, which flow through an approval process.
  • Approvals: Managers and Admins review and approve or decline requests.

Requesting time off (team members)

  1. Go to Time Off in the main navigation.
  2. Click Request Time Off.
  3. Select the Type of absence (e.g., Vacation, Sick, Personal; your admin configures the available types).
  4. Choose the Start Date and End Date of your absence.
  5. Optionally add a Note for your manager.
  6. Click Submit Request. Your request is sent for approval and shows as Pending until reviewed.

Checking your request status

After submitting, find your request in the My Requests list on the Time Off screen. Status options are:

  • Pending: submitted but not yet reviewed.
  • Approved: your manager approved it; the dates are marked in your calendar.
  • Declined: your manager declined it; check their note for context and follow up directly.

Approving or declining requests (Managers and Admins)

Managers and Admins see all pending requests from their team in the Time Off approval queue:

  1. Go to Time Off in the main navigation.
  2. Open the Approvals or Team Requests tab.
  3. Review the request: name, dates, type, and any note from the team member.
  4. Click Approve or Decline.
  5. Optionally add a Note (recommended when declining, so the team member understands why).
  6. Click Confirm. The team member is notified and their request status updates immediately.

Setting up policies and holidays (Admins)

Before team members can make requests, an admin sets up the framework:

  1. Go to Time Off → Settings (visible to Admins only).
  2. Create Policies to define the absence type (e.g., PTO), accrual or allocation rules, and which team members the policy applies to.
  3. Add a Holiday Calendar by choosing a country/region calendar or adding custom holidays. These apply automatically so team members don’t need to request standard public holidays.
