Timesheets and approvals
Submit weekly time for manager review. Approved timesheets lock entries to protect billing accuracy; rejected ones reopen for corrections.
When timesheets are enabled for your workspace, time entries are grouped by week and go through a formal submit-and-approve workflow before they’re considered final. This protects billing accuracy and gives managers a clear sign-off point before time flows into invoices or payroll.
How the workflow works
Timesheets follow a simple three-state lifecycle:
- Open: the default state. You log time normally throughout the week. Entries are editable.
- Submitted: you submit the week for review. Entries are read-only while under review.
- Approved or Rejected: a manager reviews and either approves or rejects the timesheet.
Submitting a timesheet
At the end of your week (or whenever you’re done logging for that period):
- Go to Time Logging and open the timesheet for the week you want to submit.
- Review your entries and make any corrections before submitting, since you can’t edit once it’s under review.
- Click Submit to send it to your manager for approval.
What managers see
Managers with timesheet approval permissions see a queue of submitted timesheets. For each one they can:
- Review the week’s entries, hours, and billable totals.
- Click Approve to lock the entries and mark the timesheet as approved.
- Click Reject to send it back. The entries unlock and the submitter can make corrections, then resubmit.
Approved and locked entries
Once a timesheet is approved:
- All entries in that timesheet become Locked, so they’re read-only and show a Locked badge in the time log and reports.
- Locked entries still appear in time reports and count toward all stats and billable totals.
- They can be included in invoice generation like any other billable entry.
To unlock entries in an approved timesheet, a manager must reject the timesheet. That reverts it to Open and allows editing and resubmission.
