Billable vs. internal and pricing types

Understand the fields in a time entry: what makes time billable, how rates are applied, and when to use pricing types.

Every time entry carries a small set of fields that determine whether the work is billable, at what rate, and how it will appear on reports and invoices. Getting these right is what turns raw logged hours into accurate revenue tracking.

Field reference

Client

The client the work belongs to. Choosing a client is what makes an entry eligible to be billed, and it also links the entry to the correct project for reporting.

Choose Internal / No Client for overhead work like team meetings, admin tasks, or internal projects. These entries are automatically non-billable.

Project

The project within that client’s account. Time entries roll up into the project’s financials and appear on project-level time reports.

Pricing Type

An optional rate category defined at the project level, for example “Design,” “Development,” or “Strategy.” Use pricing types when different kinds of work on the same project carry different hourly rates.

If your project has no pricing types set up, this field won’t appear. You can add pricing types from the project’s Overview tab.

Duration

How long the work took. Enter it as a whole number of hours (e.g. 2) or in H:MM format (e.g. 1:30 for 1.5 hours). For timer entries, duration is calculated automatically when you stop the timer.

Billable

A checkbox that controls whether this entry counts toward billable revenue.

  • Auto-checks when you select a client, on the assumption that client work is billable by default.
  • Uncheck it to mark the entry as internal (non-billable). The hourly rate drops to zero and the entry is excluded from invoice generation.

Hourly Rate

The rate applied to this entry. Populated automatically based on the project’s default rate or the selected Pricing Type rate, but you can override it per entry if needed.

When Billable is unchecked, the hourly rate has no effect.

Billable Amount

Calculated automatically as Duration (hours) × Hourly Rate. This field is read-only, so change the duration or rate to update it.

Notes

A free-text field for describing what was worked on. Capped at 500 characters. Notes appear on time reports and can be included on invoices, so write something your client would understand.

When to use pricing types

Pricing types are useful when:

  • A single project bills different work at different rates (e.g. junior vs. senior time, or design vs. development).
  • You want reports to break down revenue by work category, not just by total hours.
  • Your invoice line items need to reflect rate tiers rather than a single blended rate.

If everyone on a project bills at the same rate, you don’t need pricing types. Just set a project default rate and skip the field.
