Creating and editing tasks

Add tasks to a board, fill in task fields, discuss work with comments and attachments, log time, and filter the board down to what matters.

A task (or “card”) is a single unit of work on a board. It captures who’s doing it, when it’s due, how long it should take, and all the conversation around it, in one place.

Create a task

Three ways:

  • In a Kanban column: + Add task at the bottom of a column creates it there.
  • From the toolbar: + New task lets you pick a column or send it to the Backlog.
  • From inside a task: + New task in the task modal creates a linked follow-up.

Task fields

  • Task Number: auto-assigned (e.g. PROJ-01) and immutable, so it’s safe to reference in emails, commits, or external systems even if you rename the board.
  • Title (required): the only field that can’t be turned off or left blank.
  • Description: rich text with formatting, inline images, and @mentions (mentioned teammates are notified and auto-added to the board).
  • Assignees: who’s responsible. Assigning someone adds them to the board as a Member.
  • Reporter: defaults to the creator; the point of accountability, and the only person who can approve a task in an approval-gated column. See Columns and moving tasks.
  • Priority: Low / Medium / High / Urgent.
  • Due Date: used in Timeline view and filters.
  • Estimated Hours vs Actual Hours: Actual is read-only and aggregates logged time entries; the only way to change it is to add, edit, or delete time.
  • Tags: free-form labels for grouping and filtering.
  • Scope Type: Original Scope or Change Request. Flag for scope creep, so you can have informed change-order conversations with clients.
  • Custom fields: any custom fields configured for the board.

Edit and delete

Click any card to open the task modal, where every field edits in place and saves automatically. To remove a task, use Delete task in the actions menu; you’ll be asked to confirm.

Comments, @mentions, and attachments

Everything about a task lives on the task. In the Comments section, post rich-text comments (with formatting, inline images, and file attachments via the comment toolbar). Type @ plus a name to mention someone, and they’re notified and auto-added to the board. You can edit or delete your own comments; an edited one shows a Modified indicator. General files not tied to a comment go in the task’s Attachments section.

Logging time on a task

Log time without leaving the task: in the Time Entries section, click + Log time and fill in Duration, Billable, Pricing Type, Hourly Rate (auto-filled), Notes, and Date. The entry updates the task’s Actual Hours and rolls up to the project for invoicing. See Logging time.

Filtering the board

Open the Filter button in the board toolbar to narrow the board by Search (title), Assignees, Reporters, Priority, Tags, Due date range, and Has time tracking entries. Filters combine with AND logic and persist in the URL, so you can bookmark or share a filtered view (it’s the only save mechanism; there are no named views). The same filters apply across Kanban, Table, List, and Timeline layouts. Your filter state is yours alone, and it doesn’t change the board for others.
