Columns, moving tasks, and the Backlog

Configure your board's columns, including hard WIP limits and reporter approval gates, and understand how moving a task between columns sets its status.

Columns define the stages work moves through on a board. A task’s status is simply which column it’s in. There’s no separate status field, so moving a task is updating its status. Beyond naming columns, you can cap how many tasks sit in one at once and require sign-off before a task can leave.

Configure columns

Open the board’s Settings → Columns tab. From there:

  • Add: click + Add Column, name it, save.
  • Edit: click the name or edit icon to change the name or Color (the accent shown on the Kanban column header, e.g. green for Done).
  • Reorder: drag the handle to change order; the Kanban view mirrors it exactly.

WIP limits

A WIP Limit caps how many tasks can be in a column at once. It’s a hard block: when full, no task can move in until one moves out. Set it by clicking the column in the Columns tab and entering a number. A blank or 0 means no limit.

When someone tries to exceed it, they see “The ‘[Column Name]’ column has reached its task limit of [N].”

Reporter approval

Toggle Requires Reporter Approval on a column and a task can’t leave it until the task’s Reporter approves. While gated, the task shows Awaiting Approval; only the Reporter can click Approve, and FeatureFlight records their name and a timestamp. Use it on a Review or QA column for a lightweight sign-off flow.

Moving a task

Three ways to move a task to another column:

  • Drag and drop in Kanban view.
  • Column selector in the task modal: open the task, click the current column name, pick a new one. (Handy in List/Table layouts where drag targets are far apart.)
  • From the Backlog via the Move from Backlog dialog.

A move is blocked if the destination is at its WIP limit, or if the source column requires reporter approval that hasn’t happened yet. Both can apply at once, so resolve the approval first, then the WIP limit.

The Backlog

The Backlog is a holding area for tasks not yet assigned to a column. They exist here and are fully editable, but haven’t entered the board workflow yet. Create a task there by choosing Backlog instead of a column in + New task. To promote one, open the Backlog view, click Move Task to Board.
