Creating a project

Start a new project, set its client, budget, and dates, let AI scaffold it on Pro, and understand project statuses and the completion workflow.

A project is the container for everything you do for a client: its taskboards, time entries, invoices, budget, dates, notes, and team. Creating one is typically the first thing you’ll do for any new piece of work, and it only takes a minute.

Before you start

  • You’ll usually attach a project to a client, so if this is for a new client, it helps to add the client first. You can also create the project now and set the client later.
  • Creating projects is available to Admins, Managers, and any Member whose permissions allow it. If you don’t see the Create Project button, ask an admin to enable it for you.

Create a project

  1. Go to Projects in the main navigation.
  2. Click Create Project. The Create Project dialog opens.
  3. Enter a Name. This is the only required field.
  4. Fill in the optional details (see below), then click Create. You’ll land on the new project’s detail page.

Field reference

  • Name (required): what the project is called.
  • Description: a short summary. On Pro, this can double as the prompt AI uses to scaffold the project (see below).
  • Client: the client this work belongs to. Links the project’s invoices and time to that client.
  • Color: makes the project easy to spot across the app.
  • Budget: drives budget-utilization tracking and warns you when an invoice would exceed what’s left.
  • Start Date: defaults to today. End Date: the target finish, used in timeline views and health analytics.

You can change all of these later from the project’s Overview tab. Nothing is locked in.

Create a project with AI

Instead of setting everything up by hand, describe the project in plain language in the Description field, for example “Rebrand and launch a new marketing site for an accounting firm, six-week timeline”, then choose the AI assistance option, and review what AI proposes. Everything it generates is fully editable afterward.

After you create a project

You’ll land on the Project Detail page, organized into tabs: Overview, Boards, Tasks, Time Tracking, Invoices, Activity, and more. From here you can add a taskboard, set an Hourly Rate and Pricing Types, manage who can see and edit the project, and (on Pro) see AI analytics and forecasts.

Project status and completion

Every project carries a status, set from the Status field on its Overview tab. Only project Owners and Admins can change it.

  • Active: the default. Counts toward the Starter plan’s 10-project cap.
  • On Hold: temporarily paused but still visible and still counted as active. Use it when a client goes quiet rather than leaving a stalled project Active.
  • Completed: finished. Drops out of the default active view, stops counting toward the plan limit, and stays fully searchable. You can reopen it any time.

When you set a project to Completed, FeatureFlight runs a short completion workflow:

  • Optional AI summary (Pro): generates a plain-language recap of what was done, based on the project’s activity, tasks, and time entries.
  • Completion Report PDF (Pro): bundles the project’s core details (name, client, dates, budget, summary) into one document to hand to a client or keep on file. Available with or without the AI summary.
