Sending invoices to clients

Email an invoice with a PDF attached and an optional AI summary, download PDFs in three templates, duplicate invoices, and review the full activity history.

Once an invoice is ready, you can email it to the client in one action. FeatureFlight generates a PDF, sends the email, and records the event, so there’s always a clear trail of when the client was billed.

Send (or resend) an invoice

  1. Open the invoice (it must be Draft, or Sent, Partial, or Overdue if you’re resending).
  2. Click Send to Client (or Resend to Client).
  3. Review the email preview: totals plus an optional AI Summary (see below).
  4. Click Send. FeatureFlight generates the PDF, emails it to the recipient, sets the status to Sent, and records Emailed to client with a timestamp in Activity History.

The client email includes a Pay Now link when online payments are configured, so the client can pay immediately.

AI Summary (Pro)

When sending, you can include an AI Summary, a plain-language description of the invoiced work, auto-generated from your line items. It appears in the email body above the totals (not on the PDF itself) to give the client context for the charges. It’s fully editable, or you can clear it before sending. The clearer your line item Descriptions, the better the summary. “Homepage redesign, mobile responsive layout” beats “Design work.”

Download a PDF

Click Download PDF on any invoice and choose a Template:

  • Standard: the default layout with full detail and clear hierarchy (also the template used for the emailed copy).
  • Minimal: stripped back to the essentials.
  • Detailed: extra line-item breakdowns and notes; best for complex invoices.

Duplicate an invoice

Click Duplicate to create a new Draft with the same recipient, line items, tax rate, discounts, and notes, dated today. Useful for repeat scopes, or to create a corrected version of an invoice that can’t be edited (like a Paid one).

Invoice numbers and activity history

Invoice numbers are assigned automatically as INV-YYYY-NNNN (e.g. INV-2026-0042), so you never manage sequencing. Every invoice also keeps a full Activity History: creation, every edit, every send/resend, every payment (method, amount, note), and status changes, all timestamped.
