Setting up recurring invoices

Schedule an invoice to generate automatically on a set frequency (daily, weekly, monthly, or beyond) for retainer clients and ongoing work.

Recurring invoices are ideal for retainer arrangements, subscription services, or any work where you bill the same client on a regular schedule. Set the frequency once and FeatureFlight handles the rest.

Set an invoice as recurring

  1. Open the invoice you want to use as the recurring template (it can be in Draft or Sent status).
  2. Click Set as Recurring.
  3. Choose a Frequency (see options below).
  4. Optionally enable Auto-send and set the Send Hour, the time of day generated invoices should be sent automatically.
  5. Optionally set an End Date for when the recurrence should stop.
  6. Save the settings. The invoice is now the parent of a recurring series.

Frequency options

Choose how often the recurring invoice should generate:

  • Daily
  • Weekly
  • Biweekly
  • Monthly
  • Quarterly
  • Annually

Auto-send

If Auto-send is enabled, each generated child invoice is sent to the client automatically at the configured Send Hour, with no manual review required. If auto-send is off, each generated child starts as a Draft that you’ll need to review and send yourself.

How generated child invoices work

Each invoice generated by the recurring series (a “child”) is a full, independent invoice that:

  • Starts as a Draft (unless auto-send is enabled).
  • Shows From [parent invoice number] in the invoice details so you can trace it back to the recurring template.
  • Can be edited, sent, paid, and managed just like any manually created invoice.

Children inherit the line items, tax rate, discounts, recipient, and other settings from the parent at the time they’re generated. Editing the parent after a child has been generated doesn’t change the child.

Stopping or editing a recurring series

To stop generating new invoices:

  • Open the parent invoice and remove or disable the recurring settings (set an End Date in the past, or turn off the recurrence).

To change future invoices in the series:

  • Edit the parent invoice. The new settings will apply to invoices generated after the edit. Already-generated children are not affected.
