Understanding invoice statuses

Learn what each invoice status means, when it changes automatically, and what you can edit or delete at each stage.

Every invoice in FeatureFlight has a status that tracks where it is in the billing lifecycle. Knowing what each status means, and what you can do at each stage, keeps your billing organized and your records accurate.

The statuses

Draft

The invoice has been created but not yet sent to the client. Draft invoices are:

  • Fully editable: change any field, add or remove line items, adjust dates.
  • Deletable: you can permanently delete a Draft if you don’t need it.

Every new invoice starts as a Draft, whether created manually or auto-generated from time logs.

Sent

The invoice has been emailed to the client via Send to Client. At this point the client has a copy. Sent invoices:

  • Can be edited, but FeatureFlight will warn you that your changes won’t reach the client until you Resend to Client.

Partial

The client has made a payment that covers part of the balance but not the full Total Due. This status is set automatically when you record a partial payment. Partial invoices:

  • Can be edited with the same resend warning as Sent.

The full balance has been paid. This status is set when you Mark as Paid for the full amount, or when a client pays online and the payment covers the total.

Refunded

A payment has been refunded. FeatureFlight records the refund status so your financial history stays accurate.

Void

The invoice has been voided. It’s no longer active or collectible, but it’s kept in the system for record-keeping.

Overdue (automatic)

Overdue is an automatic flag, not a status you set manually. An invoice becomes overdue when:

  • Its Due Date has passed, AND
  • It is not in Paid, Void, or Refunded status.

Overdue invoices appear with the overdue indicator so you can prioritize follow-up. They behave like Sent for editing purposes: editable with a resend warning.
