Creating an invoice

Build a new invoice from scratch: choose a recipient, add line items, apply discounts and tax, and save a draft ready to review and send.

Invoices in FeatureFlight let you bill clients directly from the platform, with optional project budget tracking to make sure you stay within scope. Every invoice starts as a Draft so you can review it before anything goes to the client.

Before you start

  • If you’re billing an existing client, make sure they’re already in FeatureFlight.
  • If you want to link the invoice to a project, have the project open or know its name so you can select it quickly.

Create an invoice

  1. Go to Invoices in the main navigation.
  2. Click Create Invoice. The invoice builder opens.
  3. Choose a Recipient (see below).
  4. Optionally link to a Project (see below).
  5. Set the Issue Date and Due Date.
  6. Add your Line Items.
  7. Apply any Discounts and set the Tax Rate.
  8. Add Footer Notes and Terms if needed.
  9. Click Save. The invoice saves as a Draft.

Choose a recipient

In the Recipient field you can:

  • Select an existing client from the dropdown, and their name, email, and company pre-fill automatically.
  • Click + Bill someone else to enter a one-off recipient with a custom name, email, company, and address. This is useful for contractors, vendors, or anyone who isn’t a saved client.

Selecting a Project ties the invoice to that project’s budget tracking. When a project is linked:

  • The project’s remaining budget is shown in the invoice builder.
  • If the invoice total would exceed the remaining budget, FeatureFlight displays a warning so you can decide how to handle the overage before sending.

Add line items

Each line item has four fields:

  • Description: what the work or item is (e.g. “Logo design,” “Hosting setup”).
  • Type: Fixed (a flat fee) or Hourly (rate × quantity).
  • Quantity: hours for Hourly items, or the number of units for Fixed items.
  • Rate: the price per unit or per hour.

Click Add Line Item to add as many rows as you need. You can reorder and remove items freely while the invoice is a Draft.

Apply discounts

Discounts are optional. For each discount you can:

  • Choose % (percentage off) or a Fixed dollar amount.
  • Add an optional Note to explain the discount to the client (e.g. “Returning client discount”).

You can add more than one discount per invoice.

Set a tax rate

Enter the Tax Rate as a percentage (e.g. 8.5 for 8.5%). FeatureFlight calculates the tax amount automatically based on the subtotal after discounts.

The Footer Notes and Terms fields are free-text areas that appear at the bottom of the invoice PDF. Use them for payment instructions, late-fee policies, or any other context you want the client to see.

How totals are calculated

The invoice summary panel shows the full breakdown in this order:

  1. Subtotal: sum of all line items before any adjustments.
  2. Discount: total of all applied discounts.
  3. Subtotal After Discount: Subtotal minus Discount.
  4. Tax: Tax Rate applied to the Subtotal After Discount.
  5. Total Due: Subtotal After Discount plus Tax.
  6. Paid Amount: any payments recorded so far.
  7. Balance Due: Total Due minus Paid Amount.
