Auto-generating invoices from time logs
Turn billable, not-yet-invoiced time entries into draft invoices in one step, with flexible grouping so each invoice lands at the right level of detail.
Instead of building line items by hand, FeatureFlight can read your billable time entries and generate Draft invoices automatically. The result is a set of ready-to-review invoices you can adjust, approve, and send, without re-entering hours or rates.
Start generation
Click Generate Invoices from either the Time Logging index page or the Time Logging Reports page (handy right after you’ve reviewed the entries you want to bill). Both open the same Generate Invoices dialog.
Choose a date range and grouping
Select the date range covering the entries to invoice. Only billable, not-yet-invoiced entries within it are included. Then choose how entries group into invoices:
- One invoice per client: all of a client’s billable hours across projects roll into one invoice.
- One invoice per client + project (default): one invoice per client-project combination.
- One invoice per time entry: each entry becomes its own invoice, for milestone- or per-delivery billing.
Pick the grouping that matches how your clients expect to be billed.
What’s included (and skipped)
The generator filters automatically, so you don’t need to pre-filter:
- Included: billable entries not yet invoiced.
- Skipped: non-billable entries, and entries already attached to an invoice (tagged with an Invoice badge in the time log).
It’s safe to re-run at the end of each billing period, since already-invoiced entries won’t be double-billed.
What the draft contains
Each generated draft pre-fills the Recipient (the linked client), Line Items built from the time logs (descriptions from the entries, Type = Hourly, Quantity = hours, Rate from the project’s pricing config), and any Project link. If the project uses multiple pricing types, line items group by type so clients see a clear breakdown.
Everything is fully editable: add fixed fees or expenses, adjust rates, apply discounts, set a tax rate, and add footer notes, just like a manually created invoice. When you’re satisfied, send it to the client.
