Sending documents for eSignature
Send a PDF from a client's Documents tab for legally binding electronic signature, track every signer, and get the signed copy filed back on the client automatically.
eSignature lets you send contracts, SOWs, proposals, NDAs, and other agreements to a client for legally binding electronic signature, right from that client’s record. Signers come from the client’s contacts, so there’s nothing to re-type, and when everyone has signed, the signed copy is saved back on the client automatically.
Send a document for signature
- Open the client in Client Center and go to their Documents tab.
- Upload the PDF you want signed, or use one that’s already there. Only PDFs can be sent for signature.
- Click Request signature on the PDF.
- Choose which of the client’s contacts need to sign. You can pick more than one.
- Optionally, add a teammate as a countersigner and write a message to include in the email.
- Place the fields on the document (see below), then click Send.
Placing fields
The field editor opens the PDF with a field palette on the left. Choose the signer you’re placing fields for under Add fields for, then drag a field onto the page: Signature, Initials, Text field, Dropdown, Checkbox, or Date field.
Click a placed field to change which signer completes it, mark it Required, or Delete it. Switch signers in Add fields for to place fields for the next person, including your countersigner.
What signers see
- Clients get a branded email with a personal, secure link. They don’t need a FeatureFlight account. The signing page shows your workspace’s name, the document, who sent it, and every signer’s status, and they sign in the browser on any device.
- Clients with portal access also see documents waiting for them in the Signatures section of the client portal.
- Countersigners on your team sign inside FeatureFlight.
See signing a document for the client’s side of the flow.
Tracking signatures
Each signer shows a status (Waiting, Signed, or Declined) with timestamps, and you’re notified in the app as people sign. The client’s Activity timeline logs when the document was sent, each signature, reminders, declines, and completion.
- Automatic reminders: anyone who hasn’t signed is emailed a reminder 3 days and 7 days after you send.
- Manual reminders: you can send a reminder yourself at any time.
- Expiry: requests that aren’t completed within 30 days expire.
When everyone has signed
The final signed PDF, including a signature certificate page, is saved to the client’s Documents tab. It replaces the original in the list, and the original stays reachable. A copy is emailed to everyone involved.
