The agency math

Margins are thin. Every hour counts.

Agencies sell time. When that time is scattered across apps that never talk to each other, hours go unbilled, invoices go out late, and nobody can see the margin until the quarter is over.

Average after-tax net margin for a digital agency in 2025. Thin enough that a few unbilled hours a week show up on the bottom line.

Sound familiar?

The problems every growing agency hits, solved in one place.

The reality

Your best designer is booked at 130%.

Capacity lives in a spreadsheet nobody updates, so you find out someone is underwater when a deadline slips.

With FeatureFlight

Live capacity for every person.

See who's overloaded and who has room, including time off, before you say yes to the next project.

The reality

The retainer that quietly loses money.

Hours go into Harvest, the invoice goes out of QuickBooks, and nobody ever puts labor cost next to what the client pays.

With FeatureFlight

Real margin per project and client.

Time, budgets, and invoices share one database, so profitability is a number you look up, not a quarterly project.

The reality

Month end is a reconciliation marathon.

Someone exports timesheets, fixes the rounding, and rebuilds every invoice by hand while the unbilled hours slip through.

With FeatureFlight

Approved time becomes the invoice.

Managers approve timesheets, and approved hours drop straight onto a branded invoice with a Stripe payment link.

The reality

Clients want status updates you haven't written.

Friday afternoon goes to screenshotting boards into a deck so the client knows where things stand.

With FeatureFlight

A portal they can check themselves.

Unlimited guests on Pro, each seeing only the boards, docs, and timelines you share. AI drafts the weekly summary.

One connected workflow

From signed scope to paid invoice, without a handoff between apps.

Every step writes to the same record, so the hours your team logs on Tuesday are the invoice on Friday and the margin report next month.

Why agencies switch

Built for teams that bill for their time.

See your team's capacity at a glance.

Stop overbooking your senior people. Real capacity, time off, and utilization in one view, across every project.

Give clients a portal that doesn't suck.

Guest access with project and board-level permissions. Clients see what you choose. Nothing more, nothing less.

Bill clients without a spreadsheet.

Time entries flow into invoices automatically. Approve, send, and collect via Stripe, all linked to the project they came from.

AI that writes your status updates.

Project health narratives, weekly board summaries, and client intelligence reports, generated automatically. Run a tighter agency without hiring an ops person.

OKRs that actually get reviewed.

Set goals with milestones, check-ins, and visibility with managers. Strategic clarity without yet another tool.

One subscription instead of seven.

Replace your stitched-together stack of PM + time + invoicing + chat + docs + CRM + video calls. One bill. One source of truth.

The math

Save $20+ per user, every month.

Most service teams pay per seat for a project tracker, a timer, an invoicing tool, a client portal, a chat app, a video meeting app, a scheduler, an e-sign tool, and now an AI subscription on top. FeatureFlight is one subscription that covers all of it, so those line items come off the card and the work finally lives in one place.

One subscription covers

  • Project & task management Boards, sprints, timelines
  • Time tracking Logged hours that flow into invoices
  • Invoicing & payments Stripe built in
  • Client management & portal CRM, client portal, eSignature
  • Team messaging DMs, channels, threads
  • Video meetings Calls, screen sharing, meeting rooms
  • Scheduling Team calendar, Google & Outlook sync, booking links, PTO
  • AI & productivity No separate AI seat
  • And more Docs, spreadsheets, goals, dashboards, reports

That is seven or eight separate per-seat subscriptions, each with its own bill, its own login, and its own copy of your project data. Consolidate them and the savings land on the same line as the busywork you stop doing.

Potential annual savings

You could save

Questions

Frequently asked.

Can we plan capacity across the team?

Yes. Capacity and PTO management show who's allocated where, so you can see who's overloaded before the week starts, and what a new project does to the schedule before you commit to it.

Can each client get their own portal?

Yes. Pro includes unlimited guest users with page and feature-level permissions set per client. They see the project you share with them and nothing else.

Can we tell whether a project made money?

Yes. Tracked time, project budgets, and invoices all live in one system, so profitability per project and per client is a report you pull rather than a spreadsheet someone rebuilds each quarter.

What is FeatureFlight Intelligence?

It's our proprietary intelligence engine, a system we built in-house that sits on top of your projects, time, and invoices. It learns how your business operates: how you scope, how long your work really takes, how your clients pay, and what you actually make on a job. Then it surfaces the few things that need attention today through Flight Control. The financial figures are deterministic calculations from your own records, not AI output, and every organization runs on its own isolated database, so your data trains nothing but your own instance. Included on Pro.

Is FeatureFlight a replacement for ClickUp, Asana, or Notion?

Yes, for service businesses. We bundle project management with invoicing, time tracking, team messaging, video calls, and AI, so you don't need three other tools alongside it. Most teams replace four to six subscriptions when they switch.

Can I give my clients access to projects?

Yes. The Pro plan includes unlimited guest users with page and feature-level permissions. Clients see exactly what you choose to share, nothing more.

How does the AI work? Will my data train someone's model?

No. We use Anthropic's Claude API with no training-on-input. Your data stays yours, full stop. AI runs on monthly credits included with your plan, with optional top-ups if you need more.

Can I import data from another tool?

Yes, and if you'd rather not do it yourself, we'll do it for you for free. Send us exports from the tools you're leaving (Jira, Monday, Asana, Slack, Confluence, your CRM, QuickBooks, and so on) and we'll import them into your account and walk your team through setup. It's done by hand, so we'll give you a time estimate up front. If you'd rather do it yourself: clients and tasks both import by CSV today. Export your boards from Jira, Asana, Monday, Trello, ClickUp, or anything else that produces a CSV, then map each column to a FeatureFlight field. Statuses, assignees, due dates, priorities, comments, and attachments all come across, and anything we don't have a field for you can create as a custom field during the mapping step. Full project-level migration is on the roadmap. Reach out and we'll prioritize the path you need.

Is it really free right now?

Yes, completely. Through our Founding Customer Program, the full Pro plan (AI included) is free for any number of users through December 31, 2026. There's no subscription cost and no credit card required. You can create your workspace without entering any billing information at all. Standard pricing (Starter $19, Pro $39 per user/month, ~21% off annually) stays visible on this page so you always know what it becomes later.

What happens on January 1, 2027?

No credit card or billing information is required to create your workspace, which includes FeatureFlight Pro at no subscription cost through December 31, 2026. Beginning January 1, 2027, continued Pro access will require a paid subscription. We'll notify you well in advance, and you won't be charged automatically unless you actively select a paid plan. Your data and workspace stay intact either way.

What happens if I run out of AI credits?

Your free Pro workspace includes a monthly allotment of AI credits. If you need more, you can top up anytime on your subscription page: $25 for 500 credits or $120 for 3,000 credits, with no plan change required. AI top-ups are the one part of the program that isn't free, since they carry a real per-use cost.

Does FeatureFlight sync with Google Calendar or Outlook?

Yes, on every plan. Connect Google Calendar or Microsoft Outlook (Outlook.com and Microsoft 365 work or school accounts) from Calendar Settings in one click. Sync runs both ways: your outside meetings appear on your FeatureFlight schedule next to tasks, deadlines, time off, and holidays, and FeatureFlight events go back out to your calendar. Changes usually arrive within seconds, Meet and Teams join links come through, and you can edit meetings you organize or delete any synced event right from FeatureFlight. Link up to 3 Google and 3 Outlook accounts, and for each one choose whether full event details come in or just busy and free blocks.

Can clients book meetings with me?

Yes, on every plan. Share a booking link and clients, prospects, or candidates pick a time from your real availability, with no account needed. Busy time from your Google Calendar or Outlook is blocked out, the meeting lands on your FeatureFlight calendar, and when the booker is one of your clients, it's tagged to their account. Clients in your portal can also book time with your team directly.

Can I send contracts for eSignature?

Yes, on Pro. Upload a PDF to a client's Documents tab, place the signature fields, and send it to the client's contacts, with a teammate as countersigner if you need one. Clients sign in the browser with no account. When everyone has signed, the signed PDF and its signature certificate are saved back to the client's record. Pro includes 5 signature requests per seat each month, pooled across your workspace.

How do you keep accounts secure?

Every user can turn on two-factor authentication (2FA) with any authenticator app, like Google Authenticator or Authy, and gets a set of recovery codes as a backup. Admins can see which team members have 2FA turned on right from their user profiles, so it's easy to follow up before a client's security review. Every organization also runs on its own isolated database.

Do you support self-hosting or on-prem?

Not today. FeatureFlight is multi-tenant cloud only, hosted on AWS with isolated databases per organization. Self-hosting may be considered for enterprise plans in the future.
